Blue Ribbon Plants has been growing bedding plants, perennials, and pack plants for over 50 years. Today the family-run business produces close to 2.7 million plants a year from its 23-acre site, supplying garden centres and independent retailers who depend on them to deliver the right plants, in the right condition, on time.
Running an operation at that scale takes more than good soil and a green thumb. It takes a system that can track stock across a growing season, coordinate a small team wearing many hats, and keep customers informed without burying anyone in admin. That system had started to buckle under its own weight, and Blue Ribbon came to us looking for a way forward.
The problem with the “obvious” answer
Blue Ribbon had been running its operation on Sage 50, accounting software that had become the backbone of their stock and order management almost by accident, stretched far beyond what it was ever designed to do. It was proprietary, so Blue Ribbon had no real say in how it evolved. It had a fixed data model, meaning the software dictated how the business had to organise its own information rather than the other way around. The interface was dated and difficult for the team to work in day to day. And because it ran onsite rather than in the cloud, it carried real risk: no access away from the office, and a single point of failure if that one machine ever went down.
When Blue Ribbon went looking for a way off it, every quote told the same story. Vendor after vendor in the horticulture and wholesale space offered the same kind of legacy software, just with a different logo, and priced it accordingly. The going rate to replace what they had, licensing plus the implementation work to get it fit for purpose, came to roughly £80,000. That’s what most businesses in this space end up paying, because switching feels riskier than staying put, and the alternatives on offer all look the same.
What we did instead
We didn’t recommend another legacy platform. We built Blue Ribbon a custom solution in Superhuman Docs (formerly Coda), a flexible, document-and-database platform that let us design the exact workflows the business needed on modern foundations, rather than forcing them into someone else’s fixed data model. Stock tracking, order coordination, and day-to-day operations were rebuilt around a single connected system, tailored to how the team actually works.
We also built it smart. The system understands Blue Ribbon’s material costs and automatically recommends pricing on that basis, so quotes go out already calibrated to protect their margins instead of being worked out by hand each time.
Against the licensing and implementation costs the legacy route would have demanded, our implementation came in over £70,000 cheaper. Not because we cut corners, but because a custom-built system on modern foundations simply doesn’t carry the same overhead as the proprietary, onsite software it replaced.
